NWHOAPORTAL LLC ("NW HOA Portal," "we," "us," or "our") operates the website nwhoaportal.com and provides community website services to homeowners associations in Washington State. This Privacy Policy describes what information we collect, how we use it, and your choices regarding that information.

Data Storage, Location, and Retention

Form submissions are delivered to us via email through Cloudflare Email Routing and stored in our email system. We retain form submission data for no longer than 24 months unless an active client relationship exists, in which case data is retained for the duration of the relationship plus 12 months. If you would like your information deleted sooner, contact us using the information below.

Our website is hosted on Cloudflare's US-based infrastructure. Cloudflare may cache content at edge locations worldwide as part of its CDN service.

This website (nwhoaportal.com) is static and does not operate a database that stores your personal information. It does not use cookies or tracking pixels. The only analytics script on our site is Cloudflare Web Analytics, which collects aggregate usage data as described above — no personal information, no cookies, no cross-site tracking.

HOA Client Websites

When we build community websites for HOA clients, those websites may contain documents uploaded by the HOA board, including materials with personal information about homeowners (such as resident directories, contact lists, or financial records). The HOA — not NW HOA Portal — is the data controller for that information. The HOA board is responsible for ensuring appropriate redactions are made before publishing documents, as required by RCW 64.90.495(3) and other applicable law.

For clients whose service includes email forwarding, email addressed to the client's custom domain is routed through Cloudflare Email Routing to recipient inboxes designated by the HOA; NW HOA Portal does not store the content of forwarded messages.

Client Document Uploads (Onboarding)

During onboarding, clients may send us their community's documents through our secure upload page at upload.nwhoaportal.com, using an upload code we issue to that client. Uploaded files are stored on Cloudflare's US-based R2 storage in a client-specific area, and are accessible only to NW HOA Portal — the upload service itself provides no way to view, list, or download files, even with a valid upload code.

When files arrive, we receive an automated email notification that includes the file names and sizes; these notifications are delivered to our business email account. Please avoid putting sensitive personal details in file names themselves.

Uploaded documents are used solely to set up the client's community website. We retain them in the upload area only until the client's website is live, at which point they are moved into the client's website storage or deleted. If you upload a file by mistake, contact us and we will delete it promptly. Upload codes are deactivated when onboarding is complete.

Data Security

Our website is served over HTTPS with TLS encryption. We use Cloudflare's security infrastructure including DDoS protection and a web application firewall. This marketing website does not collect or store passwords, financial information, or sensitive personal data. For client community websites, access credentials and client-uploaded documents are stored using industry-standard encryption on Cloudflare infrastructure.

In the event of a security incident affecting personal information, we will notify affected parties as required by Washington law and our client agreements.

Children's Privacy

Our services are intended for HOA board members and homeowners, not for use by children under 13. We do not knowingly collect personal information from children.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time by contacting us. Washington State residents may have additional rights under applicable state privacy legislation as it evolves.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of our website after changes constitutes acceptance of the revised policy.
